System Consolidation

Can one platform really replacethree to five systems?

Yes, for every system that touches the constituent record. Ignite runs CRM, fundraising, finance, marketing, engagement, partnerships, intelligence, and donor self-service as eight modules on one record. Your accounting system stays the general ledger of record, and Ignite Finance feeds it balanced export files. Everything else that moves donor data between tools consolidates.

System consolidation, in short

  • Ignite replaces the CRM, fundraising, donor-communication, event, and donor-portal tools that each hold their own copy of your constituent data. All eight modules read one record.
  • Your general ledger stays. Ignite Finance is the fundraising subledger and hands the GL balanced journal entries through QuickBooks Online and Business Central export templates.
  • National FFA Foundation consolidated 14 disconnected systems into one on StratusLIVE 365, alongside a 33% increase in average gift.
  • AI teammates are included in the subscription and work the same record, so consolidation is also what lets the agents see the whole donor.
  • There are no per-seat fees, so bringing finance, events, or program staff onto the platform does not add a license.

What three to five systems look like on a Tuesday.

Most development teams did not choose a fragmented stack. It accumulated, one point solution at a time, and now every handoff between tools is a job somebody owns.

  • The same donor in four places

The CRM, the email tool, the event platform, and the payment processor each hold a version of the donor. None of them agree on the address, the last gift, or whether she is still a sustainer.

  • Handoffs by export

Gifts leave one tool as a CSV and enter another by hand. Development reports one total, finance books another, and the reconciliation lands on whoever has the spreadsheet open.

  • A stack tax paid in hours

Each added tool brings a login, a sync to babysit, and a reconciliation step. The board number takes days to assemble because it lives in five systems and one inbox.

What it means for your team

Every platform past the first adds a login, a sync, and a reconciliation step that someone owns. For a development team of three to five people, that overhead is paid in hours that were meant for donors. Consolidating onto one record removes the handoffs, not just the invoices.

Follow one gift through the platform.

Inside Ignite, this is the One Gift, One Record workflow.

Consolidation only counts if a single gift can move through fundraising, finance, marketing, and the donor’s own view without anyone re-keying it.

  1. A gift arrives on a page you designed

The donation page is built in Ignite and posts the gift straight to the constituent record. Gifts carry their campaign on the record, so attribution is captured at the gift, not reconstructed later.

    Does the work
    Ignite Fundraising
    Your team
sets the campaign, fund, and page before it goes live
  2. The record updates itself

Giving history, household and relationship context, and engagement signals sit on one constituent record. Duplicate detection flags a likely match and, once merged, keeps a 30-day reversal window.

    Does the work
    Ignite CRM
    Your team
confirms or dismisses each suggested merge
  3. Finance posts a balanced batch

Journal entries are created at batch post and must balance; an unbalanced batch is rejected. The trial balance lives in the platform, and the GL extract exports as a one-way file formatted for QuickBooks Online or Business Central.

    Does the work
    Ignite Finance
    Your team
reviews and posts the batch, then runs the export
  4. Segments refresh from live data

The new gift changes which segments the donor belongs to, from current donors to rule-based lapse-risk groups, without a list export. Marketing reads the same record fundraising just updated.

    Does the work
    Ignite Marketing
    Your team
reviews and sends every email; agents only draft
  5. The donor sees it too

Donors sign in to Ignite Self-Service for giving history, statements, recurring gifts, and saved payment methods, so the receipt inbox stops being your donor portal.

    Ignite Self-Service
    Your team

Questions about consolidating nonprofit systems

The questions buyers ask about this outcome, answered without a slide deck.

Do we still need our accounting system if we move to Ignite?

Yes. Ignite Finance is the fundraising subledger, not the general ledger of record. It processes gifts, posts balanced journal entries at batch time, and keeps a trial balance in the platform. The general ledger handoff is a one-way export file, with templates formatted for QuickBooks Online and Business Central plus CSV. Financial statements, bank reconciliation, payables, and payroll stay in your accounting system by design.

What does Ignite actually replace?

The donor database or CRM, the donation pages and giving tools, the email and marketing tool, the event and volunteer platform, the donor portal, and the spreadsheets that move data between them. Ignite does not replace your general ledger, payroll, accounts payable, or bank reconciliation. Those stay where they are and receive balanced export files from Ignite Finance.

Do we have to move every team onto Ignite at once?

No. The eight modules share one record, so you can start with the workflows that hurt most and bring finance, events, or program staff on as you are ready. There are no per-seat fees, so adding a team later does not add a license. The subscription is priced on your fundraising revenue band, and AI teammates are included.

How does consolidation change what the AI agents can do?

The agents read the same live record your team maintains, so an answer about a donor includes giving, pledges, engagement, and household context without a warehouse or an export. Constituent Support shows the sources behind each answer. Agents research and draft; writes follow the approval gates your team configures, and actions land in the audit trail.

Is our data safe moving from several systems into one?

Data conversion is a guided project with StratusLIVE. Ongoing imports use the Data Import tools, with templates, field mapping, validation, rollback, and an audit record for every load. Duplicate detection runs on import and in real time, and every merge is audited and reversible for 30 days. Access is role-based across CRM, Finance, and Marketing.

How do we measure what our current stack is costing us?

Use the 3-5 System Tax assessment on this site. You map one workflow, from the systems involved to how gifts and data move between them, and get a friction band in a few minutes. The result is arithmetic on your own entries, with no vendor score and no invented savings, and you can take it straight into a working session.
