Privacy Policy

Scope of this policy
This policy explains how StratusLIVE, LLC ("StratusLIVE," "we," "us") collects, uses, and protects personal information when you visit our websites, including stratuslive.com and its subdomains, or submit information through them. It applies to website visitors: people browsing our pages, reading our content, booking meetings, or filling out our forms.
This policy does not cover the data that our nonprofit customers manage inside the StratusLIVE Service, such as donor, member, volunteer, and constituent records. That data belongs to the customer and is processed under the customer's Subscription Agreement Terms of Use and Conditions and its Data Processing Agreement, which include StratusLIVE's commitment that customer and donor data is never disclosed to public AI models and never used to train them. Information we collect
Information you provide. When you book a discovery call, request a working session, register for a webinar, subscribe to updates, or contact us, we collect what you enter: typically your name, work email address, organization, role, phone number, and anything you write in a message field.
Information collected automatically. When you visit our websites we collect standard technical information: IP address, approximate location derived from it, device and browser type, the pages you view, how you arrived (including referrer and campaign parameters), and how you interact with our pages. We collect this through cookies and similar technologies described in the Cookies section below.
Session replay. We use Microsoft Clarity to see how visitors actually use our pages. Clarity records your interactions with a page, including mouse movement, clicks, scrolling, and how you move between pages, and replays them for us as a session recording. We use these recordings to find layouts and wording that confuse people, not to identify you, and we configure Clarity to mask the text you enter into form fields. Microsoft also uses what Clarity collects for its own purposes, as described in the Microsoft Privacy Statement. Session replay runs under your analytics cookie choice, described in the Cookies section.
Information from other sources. We may supplement business contact details you provide with information from public sources and business data providers, such as your organization's location, so we can route your request to the right person.
How we use information
We use personal information to:
- respond to your requests, and schedule and route meetings you book with our team;
- send you communications about StratusLIVE products, content, and events, which you can opt out of at any time;
- operate and improve our websites, including analytics and testing different versions of our pages;
- measure which campaigns and channels bring visitors to us;
- protect our websites against fraud, abuse, and security threats; and
- comply with legal obligations.
How we share information
We do not sell personal information.
We share personal information with service providers that run parts of our websites and business operations for us, such as website hosting and content delivery, analytics and session replay, our customer relationship management and marketing platform, and meeting scheduling. Most of these providers process information only on our instructions. Some, including Microsoft, also use what they collect for their own purposes under their own privacy terms.
When advertising cookies are on, our advertising partners may collect information about your visit to show you relevant StratusLIVE ads on other sites and to measure ad performance. Some state privacy laws treat this as "sharing" personal information for targeted advertising. You can turn advertising cookies off at any time, as described in the Cookies section.
We may also disclose information when required by law or legal process, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of assets, in which case this policy continues to apply to the information transferred.
Cookies and tracking
Our websites use three kinds of cookies and similar technologies:
- Essential cookies, which make the site work, such as remembering your cookie choices. These are always on.
- Analytics cookies, which help us understand how visitors use our pages so we can improve them, including the Microsoft Clarity session replay described above.
- Advertising cookies, which help us reach people with relevant StratusLIVE ads on other platforms and measure whether our campaigns work.
Where the law requires your permission first, such as in the European Economic Area, the United Kingdom, and Switzerland, non-essential cookies stay off until you allow them through our cookie banner. Everywhere else, analytics and advertising cookies are on by default, and you can turn either off at any time through the cookie settings link on the site, the Do Not Sell or Share My Personal Information link, or your browser's controls. We honor Global Privacy Control signals by turning off advertising cookies. Whatever your choice, it is remembered and you can change it whenever you like. We also use a cookieless, privacy-preserving analytics service that does not track you across sites.
Data retention
We keep personal information only as long as we need it for the purposes described in this policy: form submissions and meeting records for as long as we have an active business relationship or conversation with you or your organization, and analytics data for the shorter periods our analytics tools are configured to retain. When information is no longer needed, we delete or de-identify it. You can request deletion earlier, as described under Your rights and choices.
Security
We protect personal information with technical and organizational safeguards appropriate to its sensitivity, including encryption in transit, access controls, and monitoring. No website can promise perfect security, but we design for it and we limit what we collect in the first place. Our platform security practices are described on the Trust & Security page.
Your rights and choices
You can ask us to access, correct, or delete the personal information we hold about you, or to give you a copy of it. We honor these requests from any visitor, including the rights provided by US state privacy laws such as the Virginia Consumer Data Protection Act and the California Consumer Privacy Act where they apply. To make a request, email us at the address in the Contact section; we will verify the request and respond within the time applicable law requires. We will never treat you differently for exercising your rights.
You can opt out of marketing email at any time using the unsubscribe link in any message, and you can turn off non-essential cookies at any time as described in the Cookies section, including through the Do Not Sell or Share My Personal Information link in the site footer.
International visitors
StratusLIVE operates from the United States, and our websites are hosted and processed there. If you visit from outside the United States, the information you provide is transferred to and processed in the United States, where privacy laws may differ from those of your country.
Children’s privacy
Our websites are for organizations and professionals, not children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
Changes to this policy
We may update this policy as our websites and practices change. We will post the updated policy on this page with a new effective date, and for material changes we will say so prominently here.
